Primary Job Objective:
To efficiently process, file, and maintain all incoming and outgoing mail within the organization.
Handling Incoming Mails:
-Classifying and distributing incoming mails to the respective recipients.
-Ensuring adherence to established procedures for receiving documents.
Document Recording:
-Properly recording documents in the dispatch register.
-Accurate recording of items in the courier service register.
-Engaging courier services for mail collection.
Filing and Record-keeping:
-Filing all documents and consignment notes in the appropriate files.
-Updating the electronic register for easy access and retrieval.
Document Services:
-Facilitating print, photocopy, and binding requests for documents.
-Maintaining the availability of administration forms for various departments.
Correspondence Management:
-Managing the disposal schedule for correspondences.
-Submission of monthly reports on incoming, outgoing, and disposed correspondences.
Supervisory Role:
-Supervising and overseeing the work of Registry Clerks.
-Minimum 5 'O' Levels including English and Maths/Accounts.
-2 A Levels or Equivalent.
-Degree in Records Management, Information Science, or equivalent.
-2 Years of relevant experience.
