We are seeking an organized, versatile, and dynamic Personal Assistant to support the Managing Director (MD) of our conservation, tourism, and community-focused business based in Victoria Falls. The ideal candidate will be a proactive individual with excellent multitasking skills and a strong commitment to furthering the goals of the organization.
This role encompasses a broad range of responsibilities, including administrative tasks, financial management, digital media coordination, grant applications, guest relations, marketing support, payroll processing, monthly staff rations procurement, and running errands. The successful candidate will thrive in a fast-paced, mission-driven environment and have a passion for conservation and community development.
Key Responsibilities:
Administrative Support
• Provide comprehensive assistance to the MD, including calendar management, scheduling meetings, and handling correspondence.
• Maintain and update organisational records and files.
Bookkeeping & Financial Management
• Oversee basic bookkeeping tasks, including tracking expenses, invoices, and petty cash.
• Assist in preparing financial reports and budgets.
• Manage payroll processing for staff, ensuring timely and accurate payment.
• Coordinate the procurement and distribution of monthly staff rations.
Digital Media & Marketing
• Manage and update the company’s social media platforms, including creating and scheduling posts.
• Collaborate on marketing campaigns, newsletters, and promotional materials.
• Monitor digital analytics to optimize engagement and reach.
Grant Applications & Reporting
• Research potential funding opportunities and prepare grant applications.
• Track deadlines, ensure compliance with grant requirements, and prepare reports for funders.
Guest Relations & Hospitality
• Act as a key point of contact for guests and stakeholders, ensuring excellent service and satisfaction.
• Coordinate guest itineraries and special requests.
• Oversee the preparation of welcome kits and assist with event organization.
Operational Support
• Handle errands, including procurement of supplies and delivering documents.
• Coordinate logistics for events, meetings, and other organizational activities.
• Ensure the office runs smoothly by managing administrative tasks and troubleshooting issues.
Essential:
• Proven experience in an administrative or personal assistant role.
• Strong bookkeeping skills and familiarity with financial software or tools.
• Proficiency in social media platforms and digital marketing tools.
• Exceptional organizational and time-management abilities.
• Strong written and verbal communication skills.
• A valid driver’s license and ability to run errands reliably.
Preferred:
• Experience in grant writing and knowledge of donor requirements.
• Familiarity with the conservation, tourism, or community development sectors.
• Graphic design skills or familiarity with Canva or similar tools.
• Hospitality or guest service experience.
