As a Finance and Administrative Intern at FHI360, you will work under the guidance of the Logistics and Administrative Officer. Your primary responsibilities will include developing and maintaining an efficient filing system, both electronically and in hard copy, to ensure proper documentation of all financial transactions.
-Collaborate with the Finance Officer to process payments and ensure the seamless execution of financial transactions.
-Assist in ensuring completeness of payment packages, including proper documentation of invoices and receipt acknowledgments.
-Verify and support all petty cash transactions with necessary approvals.
-Create and manage an updated and easily accessible filing system for the finance office, both in hard copy and electronic formats.
-Aid in compiling invoices and receipts for VAT claims.
Administrative Responsibilities:
-Work closely with the Logistics and Administrative Assistant to facilitate smooth operations in the admin and procurement function.
-Handle telephone calls and direct them to the appropriate staff members.
-Assist in obtaining quotations and drafting bid analyses.
-Maintain an organized and accessible filing system for the admin office, both in hard copy and electronic formats.
-Support in stores management and the distribution of procured goods to user departments and provinces.
-Take on additional administrative duties as assigned.
-Customer-friendly attitude and ability to handle work-related stress.
-Proactive skills in identifying cost savings, cost avoidance, and efficiency opportunities.
-Capability to build effective relationships with internal customers and stakeholders.
-Knowledge in pricing, contracts negotiations, conflict resolution, policies, and procedures.
-Strong analytical, numerical, and problem-solving skills.
-Proficiency in Microsoft Office applications, including MS Word, Excel, and PowerPoint.
-Positive team player with a flexible mindset, comfortable in a multi-cultural setting.
-Strong sense of ethics, integrity, credibility, and respect for diversity.
-Effective communication skills with diplomacy and firmness.
Education:
-Bachelor's degree in Accounting, Business Studies, Finance, Economics, or its recognized equivalent (BCom/BTech).
