The main purpose of this role is to provide administrative and coordination support to the Head of People & Labour Relations and Employee Relations team.
The Employee Relations (ER) Coordinator reports directly to the Head of People and Labour Relations. This position is responsible for carrying our administrative and coordination tasks in order to ensure all legislative requirements are met in terms of ER related matter. This position is also responsible for organizing and maintaining personnel records, updating internal ER database, and preparing all ER Documents and capturing information on the HRIS. The ER Coordinator will assist and support the ER team with IR matters including but not limited to grievances, disciplinary hearings, issuing of warnings, etc
Duties and Responsibilities (Include but is not limited to):
Providing administrative support to the Employee Relations team.
Involved in resolving and responding to ER related queries
Support HR Services Team with case management of Maternity, Paternity, Long Term Sickness and Flexible working, identifying potential early ER issues.
To ensure validation of permits as main liaison with department of Home Affairs
To coordination all ER training session
Assists and supports the ER team with IR matters including but not limited to grievances, disciplinary hearings, issuing of warnings, etc
Organize and maintain personnel records
Update internal database and system records
Assist payroll department by providing relevant employee information (e.g leave of absence, work schedules)
Provide effective, timely and accurate administrative ER support to the ER Specialist.
Ensure that compliance and best practice is consistently applied in all ER Administration
Ensure that all request for advice is dealt with within the relevant service level agreement
Complete routine coordination and administration tasks
To maintain an accurate filing system of all study loan requests and approvals and follow through until paid
To issue out termination documents (UI-19, Salary Schedule, Final payslip, POP and COS) to terminated employees
To respond to staff queries and to resolve issues timeously
To escalate unresolved issues to the Head of People and Labour Relations
Monitor and manage own time
Attend bi-annual performance review with HOD Employee& labour Relations
Attend and participate all required compliance training and assignments
Key Requirements:
Bachelor's degree or Advanced Diploma
Human Resources, Labour Law, Employee Relations or related
2 years' experience as ER/HC Administration
3 years' Experience in corporate advising and risk mitigation
3 years' Experience in a fast-paced environment
Knowledge of relevant labour legislation
Knowledge of ER process in a corporate environment
