Context of the position
Established in 1949, SOS Children's Villages International (CVI) is a dynamic, international social development organization working globally to meet the needs and protect the interests and rights of children without parental care and those who are at the risk of losing it.

SOS Children's Villages Association of Zimbabwe is a member of SOS International - a worldwide children's social welfare organisation, providing vulnerable children without homes with a family home and educational opportunities as well as strengthening families to reduce poverty.

Mission of the position:
The functional area is responsible for mobilizing resources –, in kind and financial, managing both internal and external communications to ensure our message is consistent and engaging and providing coordination of the Board of Directors engagements. Forging partnerships of similar convictions with organizations to leverage resources mobilization. To have strong partnerships with strategic stakeholders, media and government i.e. individual and corporate donors and givers. Building partnerships and networks to position the SOS Children’s Villages Brand, as the Number one NGO partner in Zimbabwe.

Duties and Responsibilities

Key performance areas and main responsibilities:
Board Support
• Serves as the MA’s Board administrative liaison between the Board of Directors and Management.
• Maintain communications with the Board of Governors, providing them support when preparing for meetings, sending out materials in advance and sending reminders as necessary.
• In close liaison with the National Director, ensure finalization and circulation of all board papers, Notices, Agenda items for each meeting including resolutions to be passed.
• Manage board activities which include coordinating quarterly board committee meetings, Main Board meetings, Annual General Meetings, board workshops & conferences; coordinating new board member orientation, arranging accommodation for board members; processing travel requests and reimbursements; compiling, assembling and distributing board packs.
• Attend all board meetings and Annual General Meetings and take minutes for review by the board and thereafter effect timely circulation of the same.
• Ensure all board, Annual General meetings correspondence and relevant materials are produced in a timely and accurate manner.
• Coordinate with the relevant offices all board travel logistics and operations.
• Maintain all board related files, an up-to-date board list with complete personal details and contact information, distribution lists, meeting minutes, board resolutions and other important documents, send out and track annual Conflict of Interest Forms and Disclosure Forms, and update Board Information and Committee Selection Sheets.
• Ensure board attendance book is dully completed at board meeting.

Local Fundraising
• Develop, monitor and implement innovative fundraising strategies.
• Initiating and coordinating fundraising events ensuring all details are properly executed.
• Identify and group local funders according to their fundraising contributions as per the following classes – gold, platinum, silver and bronze: Monthly
• Maintain a donor database ensuring the information is accurate and up to date.
• Monitor and analyse fundraising metrics to track effectiveness of fundraising initiatives
• Lead implementation of the fundraising strategy
• Conducting research and analysis trends in the corporates to identify new fundraising opportunities: fortnightly
• Organize fundraising events i.e. golf-day and galas and spearhead fundraising campaigns. Once per quarter.
• Develop and submit concept notes and presentations for current and potential local funders: every two months
• Generate CSR relations with corporates that benefit SOS Children’s Villages in line with fundraising targets. Twice per year.
• Service stakeholders through follow up communications, thank you notes, sharing stories of change and inviting them to open days.
• Prepare and present reports on fundraising efforts and progress to senior management.
• Ensure all fundraising activities comply with relevant laws and regulations.

Communications & Branding
• Sets the communications and branding strategic plans, objectives and priorities
• Coordinating media involvement in the activities of the organisation i.e. press releases and media coverage of programs and events.
• Produce publicity and marketing materials including but not limited to organizational information brochure, banners, calendars, diary, souvenirs, almanac, best practice magazines for better visibility of the organization;
• Pro-actively research and produce communications content (such as stories, interviews, short videos, etc.) and act as the MA chief editor for communications content shared by key stakeholders.
• Ensure timely and quality production of advocacy and branding materials such as periodicals, annual and donor reports, calendars, briefing notes, Human Interest Stories, picture stories, videos, etc.
• Handle crisis communications
• Drive internal and external communications from the promotion of user generated content (i.e., blogs, social media channels, wikis etc.).
• Implement the internal communications strategy to increase staff knowledge and awareness of policies, decisions and events.
• Identify key media and key journalists and foster the relationship with them to proactively position the organization's topics and massages in the national news agenda
• Enable and consult managers and co-workers on issues related to brand and communications; run and facilitate trainings across the MA, as directed and appropriate.
• Ensure all communications align with the organisation's brand guidelines and maintain a consistent voice across all platforms.
• Management of Digital Communications/social media - daily monitoring, posting and content development
• Supports the production of MA Zimbabwe bi-annual newsletter and annual reports.
• Lead and develop program impact documentaries.
• Monitor and report on the effectiveness of communication strategies and campaigns

Child Protection and Safeguarding:
• Responsible within own area of work to raise awareness of the SOS Child Protection Policy principles and to prevent and protect children from all forms of abuse, abandonment, exploitation, violence and discrimination.
• Responsible to report any CS suspicion, concern, allegation or incident immediately following Child Safeguarding reporting procedures. CS reports should be made to the IOR CS focal person and/or to the respective line manager

Qualifications
• Degree in Business Management major in Marketing, Administration or Communications.
• At least 6 years of experience in a Communications, Fundraising or Fund development and Board Support.
