Main purpose of job:
The Corporate Services department is at the core of the British Embassy’s Operations. The Administration Officer (Reception) role plays a crucial part in a dynamic team by being first member of the British Embassy that visitors meet, being the first point of contact for the Corporate Services Helpdesk and leading on coordination of requisitions as well as the supporting the Team as a whole.
The role of Administration Officer is a challenging and rewarding position. It requires a motivated individual with an eye for detail, outstanding customer service and communication skills and process coordination. Relationship building, ability to see the bigger picture and problem solve will be key to success in this role. This exciting position will expose the individual to a wide variety of areas within the operations arena
Customer Service 60%
• Responsible for the Corporate Servies ‘Help Desk’ Function. Engaging with customers to ensure queries and requests are dealt with promptly and efficiently.
• Greeting and welcoming guests, determining the purpose of their visit, and directing them to the appropriate person or office.
• Answering, screening, and directing phone calls, taking messages, and relaying information.
• Managing calendars, scheduling meetings, and confirming appointments for meeting rooms as well as amenities facilities
• Handling office correspondence, managing mail, diplomatic bags and packages
• Ensuring the reception area is tidy, organized, and well-equipped.
Finance 30%
• Lead on raising requisitions for operations, ensuring that all details are included to facilitate a smooth payment process
• Receiving of goods and services on the operational platform.
• Reconciliation of utilities
Corporate Activities 10%
• Support the wider team and embassy in corporate responsibilities
