We are looking to attract and retain the services of a vibrant and energetic Site Administrator to support our team with general site administration duties.


Project Administration Responsibilities

  • Maintaining electronic copies of project documentation.
  • Create a set of hardcopy project files as per the Construction Manager’s requirements and relevant to the documentation they will be handling such as stationery, travel, month-end reports, and minutes of meetings.
  • Consolidate information for project meetings, as requested by the Construction Manager.
  • Maintain the distribution lists for the project concerned.
  • Distribute information to nominated persons.
  • Take and/or formalize and distribute minutes of meetings to both the team members, contractors and client.
  • Interface with the project team regarding the project administration processes.
  • Provide general support to the project team members and run the site office.
  • Provide administrative support to the Safety Manager.


General Responsibilities

  • Set up and maintain the project network space (provide for the project team and client information).
  • Coordinate the logistical needs of new site staff members.
  • Be aware of what documentation is available on Sharenet and ensure that those adapted for site purposes (with the exception of Client specified ones) are sourced from the DRA Documentation System.
  • Schedule meetings and workshops on request.
  • Arrange site and project functions when instructed by the Construction Manager.
  • Make boardroom bookings and arrange for refreshments and specific facility requirements.
  • Manage site office cleaners.
  • Liaise with the Unki Mine Accommodation Camps administrator on all matters relating to the accommodation of the full-time site-based DRA staff members as well as the DRA head office site visitors
  • To ensure the effective running of the Site Office, the Site Administrator may need to:·        
  • o   Report malfunctioning equipment to ICT;
  • o   Request assistance to set up a meeting;
  • o   Book mobile projectors;
  • o   Report problems with servers, telephones, etc.
  • Contact the supplier when services, toner, etc. are needed for the fax machines, copiers, scanners, and printers.
  • Assist Construction Managers with the preparation of presentations and any research of relevant documentation.


Financial administration

  • Reconcile all expenses for approval and review by the Construction Manager and send signed copies of the invoices to cost control and accounts for capturing and processing respectively.
  • Site Petty-Cash Administration.

 

Administration of change requests to Site Documents

  • Receive drawings and distribute them to the discipline supervisors & contractors as per Aconex.


Requirements for the Position:

Education

  • Secretarial Diploma – Advantageous.
  • MS Word, MS Excel, and MS PowerPoint at a minimum of intermediate.


Experience

  • Minimum 3 years of secretarial experience.
  • Demonstrable experience of working in a similar role at a comparable level in a company.
  • Worked within an EPCM/Mining environment - Advantageous


General

  • With this position being a full-time site-based position, the applicant will have to undergo a compulsory Entry Medical Examination/Project Inductions/Security Clearance in order to become Site Legal.
  • Hours of work: 07h00 -17h00 Monday to Friday.
  • This is a Contract-Based position, which is renewable on a 6-monthly basis.
  • The applicant must be a Zimbabwean Citizen and preferably locally based in one of the towns in close proximity to the Unki Mine.
