Title: Program Assistant Location: Tongogara Refugee Camp – Chipinge Purpose of the position: Providing a wide range of administrative, secretarial, and finance support services to the (UNHCR) program at Tongogara Refugee Camp. Major Accountabilities/ Responsibilities
  • Provide logistical support to the program to ensure the availability of adequate resources in support of the project.
  • Coordination and logistic handling of departmental visitors, central training sessions, and local and international travel.
  • Project asset management and administration (asset registers, and vehicles).
  • Project fuel management, monthly fuel analysis per vehicle, Total consolidation and processing of payment.
  • Preparation and submission of LDRs (Labour Distribution Reports) and attendance registers
  • Organizing meetings/workshops and minuting.
  • Project staff stationery/furniture requisitions, procurement and supplier payment processing.
  • Petty cash management for the project.
  • Comprehensive filing system and confidentiality. Managing and reviewing the filing systems.
  • Stationery inventory control for the project.
  • Ensure that project offices are well kept and clean.
Knowledge and Skills:
  • Diploma is Secretarial Studies, Administration or Office Management.
  • Good typing skills and speed.
  • Computer aptitude and efficiency with word processing, database management and spreadsheet software a must.
  • Ability to work without supervision, organize, manage and prioritize tasks completing them in a timely and cost effective way.
  • Ability to handle confidential matters and a high degree of professional integrity.
  • Excellent communication and interpersonal skills are an essential part of the job.
