Human Resources Assistant - SAGE Project (Harare Country Office)


Reporting to the Human Resources Manager, the HR Assistant is responsible for providing technical guidance and support towards key country HR processes for the Supporting Adolescent Girls' Education (SAGE) Project in accordance with Plan's HR principles, policies, best practices and standards.


Accountabilities:


Manage, update & maintain all SAGE Plan personnel file records in a confidential and secure manner ensuring easy retrieval.

Personnel file records are checked for completeness, validity, accuracy and authenticity of records, documentation and qualifications prior to filing.

Maintain an effective electronic HRIS ensuring completeness and accuracy of records at all times in line with organizational standards and fitting practices.

Follow up on compliance submissions such as performance appraisal forms, signed policy documents, contract renewals, probationary assessments, police clearances, submission of certified qualification copies etc to ensure personnel records completeness at all times.

Leavers' clearance forms are reviewed for completeness prior to the CHRM's approval within 5 working days of separation with the former staff.

Compile and submit timely and accurate monthly payroll information for processing within specified timeframes.

Attend to HR mail and telephone calls in a timely and satisfactory manner.

Participates in HR department meetings, workshop, or disciplinary hearings and takes timely & accurate minutes.

Generates requisitions for goods and services relating to the HR department.

Recruitment of staff for the SAGE Grant

Develops accurate Job descriptions

Registration of employees for NSSA and CIMAS

Child Protection & gender equality mainstreaming


Promotes and abides by Plan policies and procedures including but not limited to: Gender equality mainstreaming, Safeguarding Policy, Code of Conduct and the related mandatory reporting responsibilities.


Knowledge:


A Diploma in Human Resource Management or Office Administration

Good understanding and application of the country labour laws

Good thematic knowledge in the field of human resources

Skills:


Excellent communication, analytical and problem solving skills

Strong negotiation, facilitating and influencing skills

High degree of confidentiality and integrity

Strong planning and organisational skills

Proficiency in MS office tools
