Duties

The Office Management Assistant (OMA) works in the Front Office, assisting the Front Office Managers with supporting the Chief of Mission (COM) and Deputy Chief of Mission (DCM). Incumbent is rated by the DCM OMS and reviewed by the COM OMS. As OMA in the Front Office, the incumbent is responsible for performing a wide variety of administrative duties in support of the Ambassador, DCM and Front Office Managers. Jobholder augments the duties and responsibilities of the COM OMS and DCM OMS to ensure smooth operations in the Front Office and acts as back-up for the OMS staff during absences.

Qualifications and Evaluations

Requirements:

EXPERIENCE: Minimum of three years of progressively responsible executive-level administrative experience required.




Education Requirements:



2 years of post-secondary education is required.






Evaluations:

This may be tested.



LANGUAGE: English Level IV Required. Must have excellent command of written English for error-free drafting of COM’s correspondence, with writing quality befitting the Chief of Mission’s signature without requiring editing or extensive proofreading.



SKILLS AND ABILITIES:



Effective oral and written communication skills. Timeliness and accuracy in drafting, typing, and editing a wide variety of documents in English. Flexibility in adapting to changing tasks and competing priorities. Strong organizational skills and attention to detail. Willingness to work extended hours, including weekends, holidays, and late evenings.



Proficient in MS Word, Excel, Power Point, Outlook, and the Internet.



The position requires a Secret security clearance in accordance with Department of State standards.
