Finance and Administration Officer Volunteer Position: The National Association of Social Workers Zimbabwe (NASW-Z) Deadline: 28 August 2020 Location: Harare Reporting to: Treasurer and Secretariat Coordinator Background of NASW-Z The National Association of Social Workers Zimbabwe (NASW-Z) is a voluntary, membership-based, non-partisan, non-tribal, non-racial, non- discriminatory and not-for-profit organization which was established in order to advance the interests of social workers and raise their professional status. In furtherance of its mandate and in its contribution to the Social Welfare Workforce Strengthening in Zimbabwe, NASW has entered into strategic partnerships with various stakeholders to run various programmes including a Social Worker Internship or mentorship Program and other exciting innovations in the delivery of social work interventions in Zimbabwe. In this regard, the Association is seeking to recruit a Finance and Administration Volunteer Officer to help in running its programmes. Job Summary Finance and Administration Officer shall be the finance focal person responsible for operationalizing the organization’s grants acquisition, business development, financial management, quality performance, administration and human resources policies. Duties and Responsibilities Finance: Supporting compliance in accordance to Zimbabwe statutory compliance requirements; Preparing organizational and project budgets for projects and budgetary control, i.e. ensuring expenditure is compliant to budgets; Managing records, receipts and related source documents; Reconciling daily, monthly, quarterly, bi annually and yearly financial records; Preparing balance sheets; Processing membership invoices and providing customer service; Ensure all financial transactions strictly comply with organization policies and with donor contracts / agreements, guidelines and regulations; Training / inducting staff on the organization’s finance, administration and human resources policies, donor contracts / agreements, guidelines and regulations to ensure that their conduct guarantees compliance at all times; Prepare for annual external audits and respond to international auditors if required; Reporting to the National Executive Committee (NEC) on financial, human resources and administration Accounting: Cash management; ensuring that all petty cash transactions comply with the organization’s cash management policy; Ensure that all financial records are complete, up to date and filed systematically; Accurately enter all daily transactions into the books of accounts and produce relevant reports, present these to the NEC for review and approval; Manage bank accounts and prepare periodic reconciliation statements; Scrutinize and release all requisitions for authorization by the Treasurer in accordance with organization’s financial management policies and established approval levels; Prepare monthly financial reports of each project for Treasurer and the NEC; Perform month-end closing and year -end duties such as reconciliations; Responsible for procurement activities in accordance with organization’s procurement policy; Provide assistance to program staff and project budget preparation; Responsible for consolidating all the programs and operational transactions for specific donors, for annual reports and for sharing with relevant stakeholders. Administration & Human Resources: Manage operations; logistics, security, IT, records management; Maintain asset registers, conducting regular stock control and update accounting records accordingly; Ensure all IT equipment is properly functioning, including security of information, backups etc; Maintain finance and administration files; Carry out any other task assigned by the President and NEC. Qualifications and Experience: Applicants must meet the following criteria Relevant degree in Finance, CIS, CIMA, SAAA, IAC; At least 2 years working experience in finance, HR, and office administration; Demonstrable familiarity and experience with donor regulations; Excellent IT skills including Microsoft Office (Outlook and Excel); Experience with Human Resources management; Ability to present financial reports
