Key responsibilities

  • Administration of financial accounts in processing vouchers, payments and maintenance of accounting records;
  • Cash management of organization funds in receipt, banking and disbursement of funds;
  • Preparation and participation in donor compliance checks, desk reviews and audits;
  • Procurement of goods and services;
  • Administration support;
  • Store Control.

Duties and Tasks

  • General Administration of financial accounts;
  • Prepare payment vouchers with relevant description and correct information;
  • Ensure timely authorization of vouchers and processing payment;
  • Processing of payments from approved vouchers through cash payments and RTGS;
  • Ensure that adequate supporting documentation is obtained after payment if processed;
  • Follow-up and assess acquittals from staff on outstanding supporting documentation submitted and any issues arising from submission of acquittal report;
  • File processed vouchers in chronological order according to funding partner;
  • Accurately record daily transactions in cash book;
  • Budget monitoring;
  • Data capturing into accounting package;
  • Budget Preparation;
  • Ensure cash is kept in the safe at all times and maintain a petty cash account;
  • Funds directly deposited into the organization bank accounts are receipted and cash received is receipted and timely banked;
  • Prepare and assist the finance and administration manager in preparation of desk reviews and donor compliance visits through provision of required financial information such as ledgers, vouchers, receipt books, cash and any such other;
  • Ensure that purchasing and procurement is done as per policy procedures and meet specific donor requirements;
  • Ensures that all utility payments are timely done and have track records;
  • Offer support for office events/functions;
  • Ensure that all offices are kept clean at all times;
  • Manages the organization’s network systems to ensure that there is effective connectivity of email and internet;
  • Manages the organization’s transport and logistics;
  • Management of filing system, day to day management of stocks, regular updating of stock cards and maintaining the asset register.

Qualifications

  • A degree in Accounting/Finance or related field;
  • A minimum of 3 years of work experience in Financial management positions;
  • Ability to manage large and complex donor funded programs/projects;
  • Excellent skills in written and oral English language;
  • Good interpersonal and inter-organizational working experience;
  • Strong IT skills (strong working experience of spreadsheets);
  • Demonstrated ability to work effectively in team situations.
