Introduction

A local NGO working in the area of promoting and advancing women’s rights, including women with disabilities is looking for qualified Finance and Admin Assistant. The organisation aims to empower women in their diversities economically, politically and socially through amplifying their voices in all local and national processes, creating platforms for engagement, capacity building and advocacy.


Job description

Keep and maintain company accounts records in soft as well as in hard form; Responsible to deal with company accounts and settles matter of banks in consultation with the Finance Manager and the Director; Make sure verification of all the accounts record before auditory process; Responsible to submit the financial report to the finance manager for compilation, review and onwards submission to the donor; Make sure all the records / accounts / financial transactions are booked before the audit commencement; Ensure cordial relation with the line department and the audit department of the donor agency; Manages all correspondence within and outside the organization; Records all incoming and out-going letters and documents; Receives advice from the project Manager and Executive Director on relevant issues and tend to that information/inquiries sought; Conveys all the required instructions and policies of the organization to the staff; Monitors administrative aspects of the regional office/staff and evaluates discipline and punctuality of the staff to the assigned tasks; Ensure the maintenance of attendance register in office and also confirm staff attendance level in the field; Responsible to supervise the work, related to purchase of furniture, office equipment, computers, vehicles/motorbikes/bicycles, air conditioner and miscellaneous; Responsible to negotiate services agreements with vendors; Looks after administrative affairs of the Office; Helps in preparation of monthly / yearly financial reports or donor reports; Any other task assign by the supervisor.


Key qualifications

A Bachelor’s degree in Accounting, Business or equivalent; At least 1 year relevant continuous work experience in a finance and administrative functions; Experience with donor funded projects will be an added advantage; High integrity, strong result orientation, drive for excellence and takes initiative; Good communication skills; Excellent communication and analytical skills; Good interpersonal skills and result orientation; Work experience with MS Office applications is a must; Work experience with Palladium accounting package and Belina payroll system will be an added advantage
