ORGANIZATIONAL CONTEXT


This post is located in Harare and the job holder will report to the Supply Chain Officer or the designate. At this level job holders are expected to take responsibility for completion of a range of business support activities requiring some interpretation of standard guidelines/practices. Job holders are able to recommend a course of action to staff at various levels and may allocate tasks to more junior colleagues.


JOB PURPOSE


To deliver a wide range of business support processes and activities for a specific professional area of work, to facilitate effective service delivery.


KEY ACCOUNTABILITIES (not all-inclusive)


Within delegated authority, the successful person will be part of team and will be required to perform the following duties:


Respond to queries and report to the supervisor where appropriate, in order to provide a timely and accurate service to clients.

Support, process and handle routine administrative and financial tasks in various functional areas, to contribute to the effective and timely management of resources.

Identify simple discrepancies in statistics and data, such as missing information, and advise senior staff to support clients to deliver their work.

Take ownership for data integrity to facilitate availability of accurate information in corporate systems.

Accounting for fuel coupons, issuing and reporting weekly to management.

Attending to fuel queries raised by transporters and allocating monthly fuel to each transporter.

Making orders of fuel coupons and fuel order books when stocks run low.

Diligent filing of Fuel Release Authorization forms and acceptance letters from transporters.

Assist in balancing E-Vouchers for redemptions with Field Offices and ensuring retailers synchronize their daily transactions to facilitate payments.

Attend to all queries related to retailers that may arise under the Field Office.

Provide guidance to junior colleagues in performing their duties.

OTHER SPECIFIC JOB REQUIREMENTS

Produces organized, accurate and well detailed records to enable well analysed data for decision making.

Seeking advice and direction from supervisor, as required.

STANDARD MINIMUM QUALIFICATIONS


Education: Completion of secondary school education. A post-secondary certificate in the related functional area is desirable. Possession of a Diploma/Degree in Logistics, Supply Chain or other relevant qualification is an advantage.


Experience: At least four or more years of progressively responsible work experience in the relative business stream with experience in general administrative work.



Knowledge & Skills: Training and/or experience utilizing computers, including word processing, spreadsheet and other standard software packages and systems.



Knowledge of specialised common business practices and methods, gained through relevant technical training and experience.


Ability to develop and maintain relationships with a range of individuals in order to provide a high quality support service.

Ability to carry out basic data analysis and independently rectify problems requiring attention.

Ability to monitor and record financial transactions.

Good communication skills required to give and receive information and work with a variety of individuals.

Ability to maintain confidentiality. Language: Fluency in both oral and written communication in English and the local languages (Shona/Ndebele).

Ability to collate, review a variety of data, identify and adjust data discrepancies.

Identify and resolve operational problems with some independence.

Ability to acquire and give factual information of a routine nature involving interpretation of facts.

Ability to work and contribute to a team and coordinate assignments to achieve common goals.

Ability to deal patiently and tactfully with people of different national and cultural backgrounds.
